Hotel Reservation Lists

(Aug. 13th) We will gradually close all lists. Please finalize your booking as soon as possible.

Please feel free to book your room on your own through standard websites as described in the FAQ.

However, due to the large number of attendants, and because we know out of experience that mid-budget hotel accomodation can dry out very quickly in Kyoto, we have pre-booked about 110 rooms in different hotels.

If you want to book a room with us, we ask you to follow the rules below:

  • The aim of our reservation lists is to help applicants share a room and find the most suitable hotel. Rates will go up very quickly as we get closer to the dates of the summer school: we believe that pre-booking will help us keep the price of your stay low.
  • Rooms on these lists are booked by default from Sunday, August 26 (check-in) to Friday, September 7 (check-out). If you need accommodation for other days, please add your desired check-in/check-out dates at the end of the line and we will try to accomodate your request with the hotel.
  • Please follow common sense: add your information to a hotel list only if you have made up your mind about staying at a given hotel; remove it as quickly as possible if for some reason you need to cancel your reservation.
  • Since the lists are wiki pages, please do not keep them open (in edit mode) for more than a few seconds.
  • You can only add your information on our lists if you have already paid the registration fee. Send us an email as soon as you have paid, and we will send you a login/password to edit the list.
  • You can only add or remove yourself from the list. Please do not, under any circumstance, remove someone else from the list without his/her consent.
  • If you want to book a room, write down the following information without modifying the room number:
    • your ID,
    • your gender,
    • your first name and last name,
    • your institution,
    • your email address,
  • For instance, if you want to book room number 7 at hotel XYZ, change the line
7. \\

to

7. ID 245, Male, John Doe, X University Corporation, john@doe.com\\

or

7. ID 54, Female, Jane Doe, Z Laboratory, jane@doe.com\\
  • There are 2 lines for each twin room, 3 for each triple room. You should only use 1 line.
  • You can add yourself to a twin or triple room in which someone has already made a booking. In that case, please check that you share the same gender, unless you have made a specific arrangement with that person (or these persons in the case of a triple room).
  • You can share a room with a relative, friend or partner traveling with you. In that case please write your name as many times as you need to and add the name of each person at the end of the line.
